What’s New
What changed in QuickStudio, and why it matters for your studio. Plain language, newest first. We update this page with every release.
- Quick Actions gets right to the point. Choosing Add Student, Create Plan, Schedule Lesson, or Create Invoice from your dashboard’s Quick Actions now opens that form immediately, instead of just taking you to the page. The button is now a compact “+” at every screen size.
- Rescheduling now respects your studio’s calendar. Rescheduling a lesson, or approving a guardian’s reschedule request, will no longer land it on a day your studio is closed or a teacher has marked unavailable — you’ll see a clear message instead. And closing a day now also cancels any lesson that had already been moved onto it.
- A moved lesson isn’t stuck. A lesson that has already been rescheduled once can now be rescheduled again, checked in, marked completed or no-show, or cancelled — just like any other upcoming lesson. If you bill in advance, moved lessons are now included on the upcoming invoice too, and moving a lesson into a month that’s already invoiced adds it to that draft invoice — or tells you if the invoice has already been sent.
- Teacher completion rates on Analytics are accurate again. A teacher with more than one active plan could show a completion rate over 100%; each lesson now counts once.
- Clearer attendance alerts. An “attendance not recorded” alert now names the student and the lesson’s date, says how late it is in plain words, and only covers lessons from the last two days — so old lessons no longer set off alerts.
- Week view stays put. Clicking an empty spot on the Schedule’s Week view no longer jumps you back to Month view.
- Upcoming lessons are readable on your phone. The Schedule page’s upcoming-lessons list now shows the date, time, student, teacher, and status clearly on a small screen, instead of a clipped row of buttons.
- New students are registered on your studio’s date. A student added, approved from an intake form, or imported in the evening could be given the next day’s registration date. New registrations now use your studio’s own calendar day.
- Better on your phone. Quick Actions stays at the top of your dashboard, and the Students list shows as easy cards on a small screen.
- A cleaner PIN prompt. Protected pages stay hidden until you enter your PIN.
- Clearer PIN settings. The form now says exactly which box wants your sign-in password.
- Security and internal tooling updates.
- Settings fits your phone. On a small screen the Settings tabs become a dropdown instead of stretching the page.
- “View Plan” opens that plan. From a student or a message, you now land on the plan itself.
- Reading messages stays on the page. Opening a message no longer takes you to the billing page.

- Cancelling a fee or credit now corrects the invoice. Cancelling a billing adjustment you had already applied used to leave the charge on the invoice. It now posts a matching reversal, so the total is right again and both entries stay visible. An invoice that is already paid or refunded says so instead of changing quietly.
- Every invoice keeps a short history. Fees, credits, payments and refunds are recorded as they happen, so you can see what changed an invoice and when.
- Faster lists on busy studios. Some database indexes were never actually created, because the errors that said so were being discarded. They are created now, and a failed one can no longer pass unnoticed.
- General security fixes and improvements. This release also carries a set of internal security and robustness fixes.
- A notification bell on every page. Studio notices now appear in one place, with a count of what you haven’t read. Open it to read them, mark them read, or clear them — from any page, in any role.
- Automatic notices follow your email preference. Attendance alerts, teacher reminders and invoice notices went only to the in-app list, even for people who had chosen email. They are now emailed to anyone whose preference is email.
- Group messages and feedback to your studio arrive. A message sent to all teachers, all guardians, all students or the whole studio — and feedback sent to your studio — said it was sent but reached nobody. Each recipient now receives their copy.
- Group plans: a price of $0 means free, and you choose who joins. A group plan created at $0 was quietly charged at $30; it is now free. Invitations go out only once the plan is open, so a plan you are still drafting stays private, and a manager can re-enroll a student who declined or withdrew — after confirming the price that will apply.
- A payment can’t be recorded twice by accident. A double-click, or a retry after a dropped connection, could record the same payment or refund twice. A repeat of the same submission is now recognised and recorded once.
- General security fixes and improvements. This release also carries a set of internal security and robustness fixes across the app.
- Dates show the right day. In the United States, dates across QuickStudio could appear one day early: a Monday lesson listed as Sunday in the schedule list, and the same on invoice and due dates. Every date now shows the actual day. Lesson times were always correct.
- Messages and invoices state your studio’s time. Reschedule and cancellation notices, the lesson times printed on invoices, teacher reminders and attendance alerts now show the time in your studio’s time zone. Before, a 4:00 PM lesson could read as 8:00 PM. The lessons themselves were always at the right time.
- Deleting a draft invoice no longer blocks new invoices. After you deleted a draft that wasn’t your most recent one, QuickStudio could refuse to create any further invoice. New invoices now take the next free number, so you can invoice as usual, with nothing to fix.
- Your dashboard shows your studio’s name and gets you where you’re going faster. The top bar stays in view as you scroll on a laptop, each row on the dashboard opens that student, lesson, invoice or message directly, and Quick Actions (add a student, create a plan, schedule a lesson, create an invoice) sit right next to the page title.
- Money figures moved from the dashboard to Analytics. Revenue, outstanding balance and invoice counts no longer appear on the manager dashboard, so they aren’t on screen every time you open QuickStudio. You’ll find them all on the Analytics page.
- An optional PIN for Analytics, Invoices and Conversations. Managers can set a short PIN so a glance from someone nearby doesn’t show your revenue or messages. Enter it once and those pages stay open for 30 minutes on all your devices; two wrong tries sign you out, and you sign back in with your password. Studios can also choose the rules for each kind of PIN, such as how long a child’s profile PIN must be.
- A payer who still owes money can’t be deactivated by mistake. If a family’s payer has unpaid invoices or lessons coming up, QuickStudio tells you how many of each so you can settle them first.
- Demo studios are clearly labelled. Every page in a sample studio now says so at the top, and its messaging settings can’t be changed, so nobody mistakes sample data for a real studio.
- The communication audit log now says why a message was emailed instead of texted. When a text message can’t go out, for example because the recipient hasn’t agreed to receive texts or the studio’s monthly text allowance is used up, QuickStudio emails the message instead so it still arrives. The audit log’s export now includes a “Fallback Reason” column naming why, so you can tell at a glance. Who gets your messages, and how, has not changed.
- Teachers get one notice about a lesson that couldn’t be scheduled, not one every few minutes. When automatic scheduling couldn’t book a lesson (the room was taken, or the studio was closed), the teacher was told, then told again every few minutes until the clash was fixed. Now each affected lesson is reported once.
- Families are told again when a lesson is rescheduled or cancelled. When a teacher or manager moved or cancelled a lesson, the change saved, but the family’s in-app notification never arrived. The same happened to the note families get when a teacher sets expectations for a lesson. Those notifications now reach families again.
- Group invoices are now reviewed before families hear about them. Generating invoices for a group class used to notify each family straight away, while the invoice was still a draft. Now your managers are told a draft is ready, and families hear only when a manager sends it — the same way individual lesson invoices already work.
- Restoring a backup no longer creates every emergency contact twice. If a student had one emergency contact, restoring a backup gave them two identical ones — every contact, every time. Restores now bring back exactly what you saved.
- If you already have duplicates from an earlier restore, they stay until we remove them. This fix stops new ones being created; it does not tidy up the old ones. Get in touch if you are seeing duplicated contacts and we will clear them for you.
- Studio backups now include your group classes. Group plans, their schedules, sessions and enrolments are all part of a backup, and restoring one brings them back. Previously a restore quietly returned a studio without its group programme.
- Restoring a backup no longer re-bills a period you have already invoiced. A restore now keeps the references invoicing uses to recognise work it has already billed.
- An import that loses data now says so. It previously reported success as long as nothing crashed, which meant a partial import looked like a clean one.
- Exporting a backup now asks which studio you mean — and exports only that one. On an installation hosting more than one studio, an export previously included them all. There is no indication this was ever run on live data.
- Phone numbers now need an area code. A number missing one was accepted and then silently ignored by text-message features, so a family could appear reachable and never be reached. Existing numbers that fall short are flagged where they are shown, and a record cannot be saved until its number is corrected.
- The parent enrolment form has been hardened, and names typed by families are always displayed as text — never interpreted as anything else.
- QuickStudio is now labelled Beta throughout, and the Privacy Policy and Terms say plainly where we stand on children’s privacy: we intend to bring our practices into COPPA compliance as the features involving children’s information mature, and we do not claim that compliance today. The Terms also show a policy version rather than a stale effective date.
- A student’s birthdate can now be left blank. Some families prefer not to share it, and that’s fine. When a birthdate is unknown, QuickStudio errs on the side of caution and treats the student as a minor for text-messaging rules — a protective default, never a guess.
- Group-class invoicing is now safe to repeat. Generating invoices for a group class a second time no longer creates duplicates — each family is billed once per period, no matter how many times the button is pressed.
- One invoice per family. A household with two children — or one child on two plans — used to receive separate invoices for the same period. Now the family gets a single invoice, with lessons grouped by student so it’s still easy to read. An invoice that has already been sent is never changed — new charges always start a new one.
- Both parents can see the invoices. A guardian who isn’t the one paying can now view their children’s invoices too, instead of only the payer having visibility.
- Money figures no longer guess. If QuickStudio can’t verify a total — amount due, amount paid, a refund — it now shows an error instead of a plausible-looking $0. A wrong number is worse than a missing one.
- Group classes now check for double-bookings — the room, the teacher, and every enrolled student, against both private lessons and other group classes. Previously a group class could be placed on top of an existing lesson with no warning.
- Group class times follow your studio’s timezone. An 8:00 PM class is at 8:00 PM — recurring classes and one-off events both.
- The plan page now tells the whole story: the recurring schedule in plain terms, the next upcoming lesson, and where the plan sits in the billing period (“lesson 2 of 4”). That figure is computed by the same code that produces invoices, so it always matches what’s billed.
- Student ages are now birthday-aware. Students with a birthday later in the year were shown a year older than they are.
- A sweep of safety-check fixes, all sharing one principle: a check that can’t run is treated as a refusal, not an all-clear. Double-booking checks when editing a lesson, duplicate-invoice protection in overnight billing, and several other guards now refuse the action when they can’t verify it’s safe.
- Reporting is now strictly scoped to your own studio. Two analytics views could include figures from outside the studio you were signed in to. This was corrected the day it was identified. We have no evidence that any studio’s information was seen by another, and the separation between studios is now covered by tests that fail if that scoping is ever removed.
- “Tuesdays at 4pm” now means Tuesdays at 4pm. A schedule’s day and time are a wall-clock rule in your studio’s own timezone, stable across daylight-saving changes. Evening lessons no longer risked appearing on the wrong day.
- Double-booking protection strengthened. Creating a schedule now reliably refuses when the teacher or a student already has a lesson at that time — and if the check itself can’t run, the booking waits rather than proceeding unverified.
- Advance billing. Bill the upcoming month (or week, or quarter) before it happens. Invoices generate up to 14 days ahead and are dated the first of the period, so “due on the 1st” works the way studios expect. Billing after the period remains the default — nothing changes unless you choose it.
- Every lesson lands on exactly one invoice. Switching billing timing can’t drop or double a period, and a lesson that’s already been invoiced can’t be quietly moved — a makeup or an adjustment is the deliberate remedy.
- Rooms are now optional. Home studios and traveling teachers can schedule without inventing a room. With a room set, conflict checking works exactly as before.
- Editing a schedule updates the calendar. Changing a recurring schedule’s day, time, or end date now realigns the lessons already on the calendar — and anything it deliberately won’t touch (invoiced, hand-moved, completed lessons) is reported to you rather than silently left behind.
- Studio closures and teacher time-off, in-app. Closures and approved time-off now cancel the affected lessons for you, with anything preserved surfaced for review.
The road to the versions above, in brief:
- June — early access opened. $71.88/yr (that’s $5.99/mo), 30-day free trial, no card required to start, and the rate is locked for two years for early subscribers. Secure card payments through Stripe.
- June — text messaging went live on a dedicated toll-free number, with no Twilio account or technical setup needed from your studio — reminders and notifications simply work, governed by a monthly usage allowance.
- July — smoother daily use: clear confirmation messages throughout the app, a first-run setup checklist for new studios, a one-pass wizard for adding a family (student, guardian, and payer together), and recurring schedules that put lessons on the calendar the moment you create them.
- July — parent intake forms: share a private per-studio link and let families submit their own details into a review queue — you approve what joins your roster.
